As our Internal Service Co-ordinator, you’ll ensure any on-site technical issues are resolved swiftly, keeping our clients up and running.
What you’ll do
✓ Answer incoming calls, assess the nature of each enquiry and either action directly or escalate to our Sales or Accounts team
✓ Organise on-site technical support for customers
✓ Task our mobile engineering team with breakdowns and follow-on work
✓ Assist the Tuxford depot with service administration and customer liaison
✓ Coordinate with our out-of-hours (OOH) provider ensuring all OOH calls are logged and collected accurately
✓ Communicate on-call rota changes to the OOH provider as required
✓ Handle OOH performance queries or complaints and deliver satisfactory outcomes to customers
✓ Issue job worksheets, review completed worksheets and update CRM with next steps
✓ Close internal service records upon job completion, ensuring customers receive a copy
✓ Handle any customer complaints, carry out relevant investigation and achieve customer satisfaction
✓ Manage fleet assist service requirements – book sites, maintain internal records and keep customers informed as jobs progress.
✓ Create and track internal POs for parts, log all POs in the accounts spreadsheet and review month-end PO reports.
✓ Handle supplier and subcontractor invoices – code correctly and deal with queries
✓ Source and order parts ad hoc, explore alternative suppliers, and manage gas supply logistics
✓ Liaise daily with supplier on warranty issues, maintain service schedules and coordinate bookings as our main customer contact
✓ Maintain accurate internal records of fleet assets
✓ Maintain engineer calendars to streamline workflow and maximise customer satisfaction
✓ Prepare and send RAMs to customers, and ensure all engineer job cards and parts data are logged
What you’ll bring
✓ Proven customer-service or technical support experience, ideally in a field-service environment.
✓ Strong organisational skills and knowledge of database/CRM systems.
✓ Excellent verbal and written communication
✓ Solid proficiency in Microsoft Office (Word, Excel, Outlook).
✓ A proactive, self-motivated approach and a collaborative mindset
✓ Attention to detail and the ability to juggle multiple priorities under SLA deadlines.
